The sample pair worked perfectly. Great pairing, clean audio, solid fit. Six weeks later the 3,000-unit order lands and customer service starts fielding complaints: dead left channel, cases that stop charging at 70%, Bluetooth that drops every time someone walks past a microwave. Nothing was wrong with the sample. Something was wrong with the process that turned the sample into a production run — and usually, it’s a QC checkpoint that got skipped or never existed in the first place.
This is a working OEM earbuds factory quality checklist, not a lecture. Print it, save it as a PDF, or paste sections into your email to the factory before you send a deposit. It’s organized the way a real QC department organizes its own work: verify the factory, check incoming materials, check the product while it’s being built, then check it again before it ships.
Why a Written Checklist Beats a Verbal Promise
Every factory says “we have strict QC.” That sentence costs nothing to say and tells you nothing about what actually happens on the line. A checklist forces specifics: which stage catches which defect, what the acceptance threshold is, and who signs off. If a supplier can’t answer a specific line item on this list, or answers with “don’t worry, we’re very professional,” treat that as data, not reassurance.
Send this list to a candidate factory before you commit. Their response — detailed and specific versus vague and reassuring — tells you more about how they’ll handle your production run than their sample quality ever will. Stage 1: Factory Verification Checklist
Before any QC conversation matters, confirm you’re actually talking to the people who build the product.
- Business license name matches the name on the contract, invoice, and bank account
- Company registration cross-checked against China’s National Enterprise Credit Information Publicity System
- Factory can arrange a live, unscripted video walkthrough of the SMT line and assembly floor — not pre-recorded footage
- Production photos or video show your actual product on the line, not a generic promotional reel
- Factory states plainly whether they are the manufacturer or a trading company reselling another factory’s output

Stage 2: Incoming Quality Control (IQC) Checklist
IQC happens before a single unit is assembled. This is where bad batteries, mismatched drivers, or off-spec housings get caught before they become 3,000 defective earbuds instead of one rejected carton of components.
- Lithium battery cells inspected for capacity, voltage, and physical defects on arrival
- Bluetooth chipset (Qualcomm QCC, Airoha, BES, or Jieli, depending on your platform) verified against the agreed BOM — not a substitute chip
- Speaker drivers and microphones sample-tested for output and sensitivity before assembly
- ABS/PC housing and silicone ear tips checked for color match, dimensional accuracy, and surface defects
- PCB boards inspected for soldering quality and component placement
- Rejected material batches are documented, not silently reworked into the line
Stage 3: In-Process QC (DUPRO / IPQC) Checklist
DUPRO — during-production inspection — catches problems while the line is running, instead of discovering them after 3,000 units are already boxed.
- QC staff stationed at the line, not only at final inspection
- Each sub-assembly stage (PCB soldering, speaker mounting, battery placement, housing assembly) has a defined pass/fail checkpoint
- Random units pulled mid-run and function-tested, not just visually checked
- Line stops and corrects when defect rate at any checkpoint exceeds the agreed threshold, rather than continuing to run
- Touch control calibration verified for consistency between left and right earbuds
Stage 4: Final Quality Control (FQC) Checklist
This is the last checkpoint before packing. It should test the finished product the way your customer will actually use it — not just whether it powers on. Connectivity and pairing
- Pairing tested on both iOS and Android devices
- Bluetooth range tested at realistic distance (10–15 meters, through at least one wall)
- Reconnection speed tested after the case is closed and reopened
- Multipoint connection tested if the spec includes it
Audio and call quality
- Left/right channel volume and tonal balance checked against an acceptable deviation window
- Playback tested for distortion or unwanted noise at normal and maximum volume
- Microphone clarity tested for calls, including ENC performance if the SKU includes it
- ANC effectiveness verified against spec if applicable
Battery
- Continuous playback tested at realistic volume until depletion, compared against the claimed runtime — not tested at minimum volume, which inflates the number
- Charging case tested for full charge cycles, not a single top-up
- Charging contacts checked for consistent connection across units
Build and function
- Touch controls tested for every mapped function, both earbuds
- Voice prompts tested if included
- IPX rating verified against certification, if the product claims water or sweat resistance
- Aging test run — units powered on for several continuous hours to surface intermittent failures that a five-minute test won’t catch
- Cosmetic inspection for scratches, color mismatch, and case fit
Packaging and outgoing checks
- Packaging matches approved artwork and box specs
- Accessories (charging cable, manual, extra ear tips) present and correct
- Carton quantity and weight verified against the packing list
- Random cartons opened and cross-checked against the FQC report before loading
Documentation and Certification Checklist
A factory that passes every technical checkpoint above but can’t produce matching paperwork isn’t ready to ship to your market.
- FCC ID and test report (US market)
- CE and RoHS documentation (EU market)
- UKCA documentation (UK market)
- BQB (Bluetooth SIG qualification) listing matches your specific model
- UN38.3 test report for lithium battery air freight
- Certificate numbers match your exact product model and production batch — not a generic certificate reused across the factory’s catalog

What AQL Standard to Require
AQL — Acceptable Quality Limit — sets how many defective units in a sample are acceptable before the whole batch is rejected. Don’t leave this as a verbal understanding; write it into the purchase agreement.

If your factory quotes a single blended AQL number without breaking out defect classes, ask them to separate it. A 2.5 AQL sounds fine until you realize it’s being applied to battery safety defects instead of scratches.
Using This Checklist on a Video Audit or Factory Visit
You don’t need to be in Dongguan to run this list. On a live video call, ask the factory to walk the camera through each stage in order: incoming material storage, the SMT line, the DUPRO checkpoints, and the FQC bench, in that sequence. A factory that hesitates to show any single stage, or redirects to a different room, is telling you something about that stage specifically.
If you’re placing a first order above a small test batch, a third-party inspection (Bureau Veritas, SGS, QIMA, or similar) run against this same checklist at the pre-shipment stage is worth the few hundred dollars it costs. It’s an independent check on everything above, not a replacement for it.
